Before commencing any work on behalf of Maintain Group, all employees, subcontractors, and labour hire personnel are required to complete the relevant inductions below. These inductions outline our expectations, your rights, and the standards we hold ourselves and our people to — every day, on every project.

Section 3 — Workplace Health & Safety

Safety is non-negotiable at Maintain Group. Read each section carefully — these procedures protect you and your workmates.

Emergency Evacuation Procedures

Know these steps before you start work

1 Call Mayday × 3, Emergency × 3, or 000 (depending on your location/site)
2 State your Name, Location, Nature of Incident, and number of people involved
3 Assist if safe to do so
4 Await further direction
▪ Emergency Response Diagram on site includes: Site address · Emergency exits · Assembly area · Fire extinguishers · Emergency contacts. Workers are required to participate in Emergency Evacuation drills.

Personal Protective Equipment (PPE)

Mandatory minimum PPE on all sites

Mandatory PPE — Must be worn at all times on site:

Ankle-high steel cap boots (laced) Hi-vis shirt with company logo Hard hat Safety glasses (clear & dark) Hi-vis pants or overalls
▲ Additional PPE Depending on your task or SWMS, additional PPE may be required: double eye protection, impact gloves, hearing protection, breathing protection, etc.

Working at Heights

  • Any work over 600mm or with potential to fall requires 100% hook-up at all times to a rated anchor point (15kN for 1 person / 21kN for 2)
  • Only industrial-grade platform ladders with a backing bar to be used; tested every 3 months by a licensed rigger
  • Ladders must extend 1.0m past the landing platform; three points of contact maintained at all times
  • Excavations >150mm require a permit and must be barricaded with barricades at least 1m from the trench edge
  • Scaffolds must only be erected by a ticketed and VOC'd scaffolder

Electrical Safety

  • All electrical items must be tested, tagged and visually inspected before use
  • Equipment must be tested every 3 months by a licensed Electrician
  • Electrical leads must be suspended off the ground using stands and insulated hooks
  • Faulty equipment must be locked out / tagged out immediately and reported to your supervisor
  • Materials must not be placed within 1200mm of a temporary or fixed power board

Drugs, Alcohol & LAB-DAS

Fitness for work and mandatory testing requirements

▲ Zero Tolerance Policy No alcohol or prohibited drugs are permitted on site. Anyone found with these substances, or under their influence, shall be removed from site.
  • Projects may be subject to random drug and alcohol testing (breathalyser for alcohol, mouth swab for drugs)
  • If taking prescription medication that may affect your ability to work, you must notify the Site Manager or WHS Rep
What is a LAB-DAS? A LAB-DAS (Labour Drug & Alcohol Screen) is a mandatory requirement for all Maintain Group personnel. It must be completed within 72 hours of mobilising to any project, regardless of duration or location.

Your LAB-DAS Obligations

  • Complete your LAB-DAS within 72 hours of mobilising on any new project
  • Ensure the Chain of Custody form is submitted to planning@maintaingroup.com.au
  • Failure to complete a LAB-DAS within the required timeframe may result in removal from project if the company cannot meet the specified mobilisation timeframes
ⓘ How to Complete Your LAB-DAS Speak to your supervisor or site manager on arrival. They will coordinate your LAB-DAS. If you are unsure, contact the Maintain Group office before starting work on site.

First Aid & Incident Reporting

  • The project has first aid officers and first aid facilities on site
  • All injuries requiring First Aid must be reported to your line manager as first priority
  • All incidents, near misses and injuries must be immediately reported to the MIA Operations Manager/Supervisor
  • An Incident Investigation Report Form must be completed no later than the current shift

Section 4 — Site Rules & Operations

These rules apply to everyone on site at all times.

Site Access & Deliveries

  • All people entering site must report to the Site Office first
  • Deliveries must be reported to site management and placed in designated areas
  • Delivery drivers must comply with site PPE requirements
  • Always follow signed designated access ways on site
  • NEVER enter an exclusion zone unless authorised

Hazard Identification & SWMS

  • A SWMS is required for all High-Risk Construction Works
  • All workers must be involved in the development or review of SWMS for high-risk activities
  • Workers must be signed on to the relevant SWMS before starting any task
  • Any potential hazard identified must be reported to site management or HSE immediately

Vehicles & Driving on Site

  • No personnel may drive on site unless approved and a Light Vehicle Assessment has been signed off by management
  • Must hold a current and valid minimum C Class licence
  • All vehicles must be reversed parked and fundamentally stable
  • Windows must be up at all times while driving on site
  • Daily pre-start checks must be completed; damages and defects reported to management immediately
  • IVMS (In Vehicle Monitoring Systems) are fitted to all Maintain Group assets — these track, assess and report vehicle activity in real time
▪ IVMS Notice You are obligated to ensure IVMS units, including cameras, remain fully functional at all times. Data may be provided to clients for incident investigations.

Personal Headphones & Mobile Phones

▲ Personal headphones are NOT to be used on our projects. You must be able to hear emergency evacuation sirens, mobile plant working near you, and instructions from your supervisor at all times.

Mobile phone use must be authorised by Site Supervision.

Hazardous Substances

  • Subcontractors must notify site management of any Hazardous Substances or Dangerous Goods brought onto site
  • A current Safety Data Sheet (SDS) is required for all substances
  • SWMS must reflect relevant SDS requirements
  • Spill kits are located on site — all spills must be reported to site management immediately

Section 5 — HR, Admin & Responsibilities

Important information about your responsibilities, reporting, and Maintain Group systems.

Worker Responsibilities

  • Comply with requirements of relevant Acts, Regulations and Codes of Practice
  • Comply with all company policies and procedures
  • Take immediate action to address unsafe conditions — report to site management
  • Ensure worker supervision is suitable and employees receive adequate, appropriate training
  • Provide all safety and environmental documentation required by the site team, including task-specific SWMS

foundU System

  • Notifications must be turned ON in the foundU app
  • Ensure all personal details (address, contact number, next of kin) are accurate and up to date
  • All shifts will be uploaded to foundU
  • All compliance documents must be uploaded and kept current to maintain site access

Absence Reporting

  • Report a potential or expected absence as soon as practicable before your shift commences
  • If on shift, call your Supervisor prior to your scheduled transport time departure
  • If you do not present and are not contactable, Maintain Group will follow its Health & Wellbeing process
  • For illness on a day you are scheduled to fly to site, notify your Operations Manager as soon as possible to avoid a Missed Flight notification

Company Tooling & Equipment

All Maintain Group equipment issued to employees is the responsibility of the individual. You are responsible to:

  • Use tools only for their intended purpose
  • Handle all items with care to prevent damage, misuse, or loss
  • Conduct basic pre-use checks on all tools
  • Report faults or damage immediately to a supervisor
  • Return all items at the end of the shift or when no longer required
▲ Note Misuse, neglect, or failure to return tools may result in disciplinary action and/or the cost of replacement being passed on to the individual.

Intellectual Property

All intellectual property — including designs, documents, reports, drawings, procedures, software, and work-related concepts — developed during the course of employment or engagement remains the sole property of Maintain Group, unless otherwise agreed in writing.

Workplace Health & Safety Policy

Health and Safety Policy

Maintain Industrial Access is committed, to ensuring all personnel within and under control of the organisation will always follow best-practice risk management techniques, including ensuring all employees, at all levels, participate in workplace and site assurance inspections, and by ensuring that all Maintain Industrial Access personnel including (Employees, Contractors, Sub-contractors and External Providers) have the training, skills, knowledge, competence and where applicable, license(s) required for the duties performed. All Maintain Industrial Access personnel will be recognisable by the diligence and attention to detail, and their commitment to ensuring that they will eliminate or control risks to a level which is tolerable and as low as reasonably practicable (ALARP).

The Maintain Industrial Access will achieve this by:

  • At all times, engaging in consultative processes with employees, suppliers, customers and governmental authorities.
  • Ensuring the provision and maintenance of equipment and providing safe systems of work that are, so far as is reasonably practicable, without risk to the health and safety of all personnel, stakeholders or interested parties.
  • Ensuring that there are effective arrangements and practices in place and for ensuring the safe use, handling, storage and transport of equipment and substances.
  • Ensuring strict compliance with all aspects of the Heavy Vehicle National Laws (HVNL) and the Chain of Responsibility (CoR) requirements and obligations, as they apply to all MIA activities, in the delivery of its products and services in Western Australia and all other interstate locations.

Injury Management Policy

Injury Management Policy

Maintain Industrial Access recognises that the effective injury management within the workplace is a beneficial process that promotes the early return to work for injured or ill personnel.

Maintain Industrial Access is committed to implementing workplace principles and practices to enhance Injury Management.

Experience shows that injury management and rehabilitation assists in the healing process and aids in returning the worker to normal functioning capacity sooner. Injury management aims to provide early intervention of timely and adequate services, including alternate duties programs such as:

  • Manage injured or ill workers;
  • Facilitate the workers earliest possible return to work; or
  • Maximise the workers independent function.

To ensure the success during the management process the full commitment of the injured personnel, support of co-workers and supervisors and effective injury management coordination is required.

Maintain Industrial Access shall ensure this by:

  • Providing a safe and healthy work environment;
  • Demonstrating the company’s commitment to assisting injured persons by arranging appropriate medical treatment and working with employees to encourage, develop and manage return-to-work programs in accordance with treating practitioner recommendations, and without disadvantaging employees;
  • Ensuring workers are informed about their rights and obligations;
  • Providing medically approved alternate duties for injured or ill workers, where appropriate;
  • Return injured employees to the workplace as soon as possible, in accordance with professional medical advice, on modified duties if required;
  • Ensuring confidentiality to all injury management information; and
  • Complying with legislative obligation for injury management.

Fitness for Work Policy

Fitness for Work Policy

Maintain Industrial Access recognises that an individual’s fitness for work may be affected for a variety of reasons including the adverse effects of fatigue, stress, alcohol and or other drugs. Maintain Industrial Access is committed to creating a healthy and safe workplace through effective risk management.

Maintain Industrial Access management shall provide a framework enabling practical steps to be taken to manage fitness for work concerns. To achieve this, Maintain Industrial Access shall:

  • Maintain appropriate health and fitness standards to enter the workforce and sustain fitness for work;
  • Maintain a zero tolerance to drugs and alcohol in the workplace. This equates to a prescribed limit of 0.00% BAC on all Dowell Mechanical Services and client worksites;
  • Communicate and consult with personnel to increase awareness of their workplace health and safety obligations in relation to drugs and alcohol;
  • Promote physical, mental and emotional health so that people can safely undertake and sustain work;
  • Provide relevant training, education and awareness to employees and contractors to assist in fulfilling their roles and responsibilities under this policy;
  • Ensure confidentiality is maintained at all times in respect of these matter;
  • Monitor the health and wellbeing of personnel;
  • Ensure personnel deemed unfit for work as a result of alcohol or other drug misuse, are disciplined in a manner that aligns to the principals of just culture; and
  • Provide adequate resources to ensure the successful implementation of this policy; including access to an Employee Assistance Program.

Health and Safety Responsibilities

  • Maintain Industrial Access personnel shall adhere to the policy and ensure that they are fit to perform their duties without risk to the safety and health of themselves and others; and
  • Maintain Industrial Access Management is responsible for the implementation of Fitness for Work Policy.

Modern Slavery Policy

Modern Slavery Policy

Modern slavery is a crime and a violation of fundamental human rights. It takes various forms, such as slavery, servitude, forced and compulsory labour and human trafficking, all of which have in common the deprivation of a person's liberty by another in order to exploit them for personal or commercial gain. Maintain Industrial Access is committed to limiting the risk of modern slavery occurring within its own business, infiltrating its supply chains or through any other business relationship. Maintain Industrial Access Management shall achieve this by:

  • Conducting risk assessments to determine which parts of the business and supply chains are at most risk from modern slavery and implement controls to address these risks. The risks shall be evaluated annually as part of the management review process.
  • Ensuring compliance and regular monitoring of the organisations legal and other requirements.
  • Recruiting personnel from reputable employment agencies and ensure they have the right to work in Australia.
  • Undertaking due diligence when considering using new suppliers, and regularly review its existing suppliers.
  • Ensuring products and services are procured from approved suppliers.
  • Ensuring this policy and information on modern slavery is communicated to all personnel and suppliers.
  • Providing training to all personnel on the issue of modern slavery in supply chains.
  • Encouraging personnel and suppliers to raise concerns about any issue or suspicion that they may have of modern slavery at the earliest possible stage. If anyone becomes aware of or suspects that modern slavery is taking place, they must immediately notify Maintain Industrial Access Management.

Sexual Harassment

Maintain Industrial Access (MIA) is committed to providing and maintaining an Equal Opportunity workplace that is free of harassment of any kind. Sexual Harassment is defined as “any unwelcome sexual advance or an unwelcome request for sexual favours or other unwelcome conduct of a sexual nature” (Sex Discrimination Act 1984). MIA will not tolerate Sexual Harassment of any nature. Sexual Harassment may be deliberate or unintentional and may include, but is not limited to:

sexually graphic displays of pinups, calendars, cartoons, graffiti and screen savers;

written messages left on boards, desks, in lockers or in emails;

staring or leering at a person or parts of their body;

smutty jokes or verbal remarks;

body contact such as rubbing, pinching, patting or massaging;

tales of sexual exploits;

repeated requests for dates/drinks; and

suggestive comments regarding a person’s appearance.

Sexual Harassment is unlawful under the Sex Discrimination Act 1984 and the W.A. Equal Opportunity Act 1984. MIA has the responsibility to ensure that the principles of equal opportunity are practiced and reflected in its policies and procedures.

Appropriate disciplinary action will be taken against any staff member who is found to have engaged in behaviour that contravenes this policy up to and including termination of employment.

“What may seem as reasonable by one person can be viewed differently by another”.

Any staff member who makes fraudulent or vexatious complaints shall be subject to disciplinary action and may face termination of employment if appropriate.

MIA will comply with all current legislation and this policy will be reviewed at regular intervals and revised where appropriate.

Work that you create during your employment, including an invention, design or copyright, is considered our intellectual property.

Conflict of Interest

A conflict of interest arises where your activities, financial interests, family relationships, personal relationships or loyalties jeopardise or could jeopardise your judgment or independence in relation to Maintain.

Examples may include:

Any work activity (paid and unpaid) which may impinge on your normal working hours;

A business interest in, or association with, any supplier, client, subcontractor or other service provider, including that of a friend or family member;

A personal relationship with someone under your supervision; and

A personal relationship with an applicant applying for a position with us.

If you become aware of any actual or potential conflict of interest you must:

Disclose the matter to the relevant member of management immediately as it arises; and

Follow any direction given by the member of management in relation to the matter.

Ethics

Ethical practice is behaving in a way which is moral, right, fair and just.

Examples of its application in our workplace include:

Ensuring that any instance of bullying, harassment or assault is reported;

Emergency Evacuation Procedures

Know these steps before you start work

1 Call Mayday × 3, Emergency × 3, or 000 (depending on your location/site)
2 State your Name, Location, Nature of Incident, and number of people involved
3 Assist if safe to do so
4 Await further direction
▪ Emergency Response Diagram on site includes: Site address · Emergency exits · Assembly area · Fire extinguishers · Emergency contacts. Workers are required to participate in Emergency Evacuation drills.

Personal Protective Equipment (PPE)

Mandatory minimum PPE on all sites

Mandatory PPE — Must be worn at all times on site:

Ankle-high steel cap boots (laced) Hi-vis shirt with company logo Hard hat Safety glasses (clear & dark) Hi-vis pants or overalls
▲ Additional PPE Depending on your task or SWMS, additional PPE may be required: double eye protection, impact gloves, hearing protection, breathing protection, etc.

Working at Heights

  • Any work over 600mm or with potential to fall requires 100% hook-up at all times to a rated anchor point (15kN for 1 person / 21kN for 2)
  • Only industrial-grade platform ladders with a backing bar to be used; tested every 3 months by a licensed rigger
  • Ladders must extend 1.0m past the landing platform; three points of contact maintained at all times
  • Excavations >150mm require a permit and must be barricaded with barricades at least 1m from the trench edge
  • Scaffolds must only be erected by a ticketed and VOC'd scaffolder

Electrical Safety

  • All electrical items must be tested, tagged and visually inspected before use
  • Equipment must be tested every 3 months by a licensed Electrician
  • Electrical leads must be suspended off the ground using stands and insulated hooks
  • Faulty equipment must be locked out / tagged out immediately and reported to your supervisor
  • Materials must not be placed within 1200mm of a temporary or fixed power board

Drugs, Alcohol & LAB-DAS

Fitness for work and mandatory testing requirements

▲ Zero Tolerance Policy No alcohol or prohibited drugs are permitted on site. Anyone found with these substances, or under their influence, shall be removed from site.
  • Projects may be subject to random drug and alcohol testing (breathalyser for alcohol, mouth swab for drugs)
  • If taking prescription medication that may affect your ability to work, you must notify the Site Manager or WHS Rep
What is a LAB-DAS? A LAB-DAS (Labour Drug & Alcohol Screen) is a mandatory requirement for all Maintain Group personnel. It must be completed within 72 hours of mobilising to any project, regardless of duration or location.

Your LAB-DAS Obligations

  • Complete your LAB-DAS within 72 hours of mobilising on any new project
  • Ensure the Chain of Custody form is submitted to planning@maintaingroup.com.au
  • Failure to complete a LAB-DAS within the required timeframe may result in removal from project if the company cannot meet the specified mobilisation timeframes
ⓘ How to Complete Your LAB-DAS Speak to your supervisor or site manager on arrival. They will coordinate your LAB-DAS. If you are unsure, contact the Maintain Group office before starting work on site.

First Aid & Incident Reporting

  • The project has first aid officers and first aid facilities on site
  • All injuries requiring First Aid must be reported to your line manager as first priority
  • All incidents, near misses and injuries must be immediately reported to the MIA Operations Manager/Supervisor
  • An Incident Investigation Report Form must be completed no later than the current shift

Section 4 — Site Rules & Operations

These rules apply to everyone on site at all times.

Site Access & Deliveries

  • All people entering site must report to the Site Office first
  • Deliveries must be reported to site management and placed in designated areas
  • Delivery drivers must comply with site PPE requirements
  • Always follow signed designated access ways on site
  • NEVER enter an exclusion zone unless authorised

Hazard Identification & SWMS

  • A SWMS is required for all High-Risk Construction Works
  • All workers must be involved in the development or review of SWMS for high-risk activities
  • Workers must be signed on to the relevant SWMS before starting any task
  • Any potential hazard identified must be reported to site management or HSE immediately

Vehicles & Driving on Site

  • No personnel may drive on site unless approved and a Light Vehicle Assessment has been signed off by management
  • Must hold a current and valid minimum C Class licence
  • All vehicles must be reversed parked and fundamentally stable
  • Windows must be up at all times while driving on site
  • Daily pre-start checks must be completed; damages and defects reported to management immediately
  • IVMS (In Vehicle Monitoring Systems) are fitted to all Maintain Group assets — these track, assess and report vehicle activity in real time
▪ IVMS Notice You are obligated to ensure IVMS units, including cameras, remain fully functional at all times. Data may be provided to clients for incident investigations.

Personal Headphones & Mobile Phones

▲ Personal headphones are NOT to be used on our projects. You must be able to hear emergency evacuation sirens, mobile plant working near you, and instructions from your supervisor at all times.

Mobile phone use must be authorised by Site Supervision.

Hazardous Substances

  • Subcontractors must notify site management of any Hazardous Substances or Dangerous Goods brought onto site
  • A current Safety Data Sheet (SDS) is required for all substances
  • SWMS must reflect relevant SDS requirements
  • Spill kits are located on site — all spills must be reported to site management immediately

Section 5 — HR, Admin & Responsibilities

Important information about your responsibilities, reporting, and Maintain Group systems.

Worker Responsibilities

  • Comply with requirements of relevant Acts, Regulations and Codes of Practice
  • Comply with all company policies and procedures
  • Take immediate action to address unsafe conditions — report to site management
  • Ensure worker supervision is suitable and employees receive adequate, appropriate training
  • Provide all safety and environmental documentation required by the site team, including task-specific SWMS

  • Notifications must be turned ON in the foundU app
  • Ensure all personal details (address, contact number, next of kin) are accurate and up to date
  • All shifts will be uploaded to foundU
  • All compliance documents must be uploaded and kept current to maintain site access

Absence Reporting

  • Report a potential or expected absence as soon as practicable before your shift commences
  • If on shift, call your Supervisor prior to your scheduled transport time departure
  • If you do not present and are not contactable, Maintain Group will follow its Health & Wellbeing process
  • For illness on a day you are scheduled to fly to site, notify your Operations Manager as soon as possible to avoid a Missed Flight notification

Company Tooling & Equipment

All Maintain Group equipment issued to employees is the responsibility of the individual. You are responsible to:

  • Use tools only for their intended purpose
  • Handle all items with care to prevent damage, misuse, or loss
  • Conduct basic pre-use checks on all tools
  • Report faults or damage immediately to a supervisor
  • Return all items at the end of the shift or when no longer required
▲ Note Misuse, neglect, or failure to return tools may result in disciplinary action and/or the cost of replacement being passed on to the individual.

Intellectual Property

All intellectual property — including designs, documents, reports, drawings, procedures, software, and work-related concepts — developed during the course of employment or engagement remains the sole property of Maintain Group, unless otherwise agreed in writing.

Maintain Industrial Access is committed, to ensuring all personnel within and under control of the organisation will always follow best-practice risk management techniques, including ensuring all employees, at all levels, participate in workplace and site assurance inspections, and by ensuring that all Maintain Industrial Access personnel including (Employees, Contractors, Sub-contractors and External Providers) have the training, skills, knowledge, competence and where applicable, license(s) required for the duties performed. All Maintain Industrial Access personnel will be recognisable by the diligence and attention to detail, and their commitment to ensuring that they will eliminate or control risks to a level which is tolerable and as low as reasonably practicable (ALARP).

The Maintain Industrial Access will achieve this by:

  • At all times, engaging in consultative processes with employees, suppliers, customers and governmental authorities.
  • Ensuring the provision and maintenance of equipment and providing safe systems of work that are, so far as is reasonably practicable, without risk to the health and safety of all personnel, stakeholders or interested parties.
  • Ensuring that there are effective arrangements and practices in place and for ensuring the safe use, handling, storage and transport of equipment and substances.

Injury Management Policy

Maintain Industrial Access recognises that the effective injury management within the workplace is a beneficial process that promotes the early return to work for injured or ill personnel.

Maintain Industrial Access is committed to implementing workplace principles and practices to enhance Injury Management.

Experience shows that injury management and rehabilitation assists in the healing process and aids in returning the worker to normal functioning capacity sooner. Injury management aims to provide early intervention of timely and adequate services, including alternate duties programs such as:

  • Manage injured or ill workers;
  • Facilitate the workers earliest possible return to work; or
  • Maximise the workers independent function.

To ensure the success during the management process the full commitment of the injured personnel, support of co-workers and supervisors and effective injury management coordination is required.

Maintain Industrial Access shall ensure this by:

  • Providing a safe and healthy work environment;
  • Demonstrating the company’s commitment to assisting injured persons by arranging appropriate medical treatment and working with employees to encourage, develop and manage return-to-work programs in accordance with treating practitioner recommendations, and without disadvantaging employees;
  • Ensuring workers are informed about their rights and obligations;
  • Providing medically approved alternate duties for injured or ill workers, where appropriate;
  • Return injured employees to the workplace as soon as possible, in accordance with professional medical advice, on modified duties if required;
  • Ensuring confidentiality to all injury management information; and
  • Complying with legislative obligation for injury management.

Fitness for Work Policy

Maintain Industrial Access recognises that an individual’s fitness for work may be affected for a variety of reasons including the adverse effects of fatigue, stress, alcohol and or other drugs. Maintain Industrial Access is committed to creating a healthy and safe workplace through effective risk management.

Maintain Industrial Access management shall provide a framework enabling practical steps to be taken to manage fitness for work concerns. To achieve this, Maintain Industrial Access shall:

  • Maintain appropriate health and fitness standards to enter the workforce and sustain fitness for work;
  • Maintain a zero tolerance to drugs and alcohol in the workplace. This equates to a prescribed limit of 0.00% BAC on all Dowell Mechanical Services and client worksites;
  • Communicate and consult with personnel to increase awareness of their workplace health and safety obligations in relation to drugs and alcohol;
  • Promote physical, mental and emotional health so that people can safely undertake and sustain work;
  • Provide relevant training, education and awareness to employees and contractors to assist in fulfilling their roles and responsibilities under this policy;
  • Ensure confidentiality is maintained at all times in respect of these matter;
  • Monitor the health and wellbeing of personnel;
  • Ensure personnel deemed unfit for work as a result of alcohol or other drug misuse, are disciplined in a manner that aligns to the principals of just culture; and
  • Provide adequate resources to ensure the successful implementation of this policy; including access to an Employee Assistance Program.

Health and Safety Responsibilities

  • Maintain Industrial Access personnel shall adhere to the policy and ensure that they are fit to perform their duties without risk to the safety and health of themselves and others; and
  • Maintain Industrial Access Management is responsible for the implementation of Fitness for Work Policy.

Performance Management Policy

Maintain Industrial Access is committed to assisting its employees in the performance of their duties by creating a clear direction for employees and ensuring that all are aligned with the strategic efforts and directions of the Group.

Maintain will assist employees to improve performance by providing employees with:

  • Clarity regarding roles, responsibilities, and performance expectations;
  • Provide a framework for regular and constructive feedback (formal and informal) regarding performance related issues between supervisors and employees;
  • Ensure policies and procedures are accessible to all employees;
  • Where possible, attempt to resolve any issues through counselling, provide training if required and other suitable management practices;
  • Conduct annual review and maintain accurate records of performance outcomes and achievements;
  • Identifying the cause of poor performance and taking appropriate corrective action; and
  • Eliminating inappropriate behaviours from the workplace.

In order to achieve this goal, Maintain Industrial Access requires its employees to:

  • Comply with improvement plans and lawful instructions;
  • Ensure awareness of Maintain’s policies and procedures;
  • Attend any training sessions arranged and requested by the group; and
  • All employees must participate in a formal Review and cooperate with any performance-based outcomes.

In circumstance where performance improvement has not been satisfactory, further disciplinary action may occur up to and including termination of employment.

Modern Slavery Policy

Modern slavery is a crime and a violation of fundamental human rights. It takes various forms, such as slavery, servitude, forced and compulsory labour and human trafficking, all of which have in common the deprivation of a person's liberty by another in order to exploit them for personal or commercial gain. Maintain Industrial Access is committed to limiting the risk of modern slavery occurring within its own business, infiltrating its supply chains or through any other business relationship. Maintain Industrial Access Management shall achieve this by:

  • Conducting risk assessments to determine which parts of the business and supply chains are at most risk from modern slavery and implement controls to address these risks. The risks shall be evaluated annually as part of the management review process.
  • Ensuring compliance and regular monitoring of the organisations legal and other requirements.
  • Recruiting personnel from reputable employment agencies and ensure they have the right to work in Australia.
  • Undertaking due diligence when considering using new suppliers, and regularly review its existing suppliers.
  • Ensuring products and services are procured from approved suppliers.
  • Ensuring this policy and information on modern slavery is communicated to all personnel and suppliers.
  • Providing training to all personnel on the issue of modern slavery in supply chains.
  • Encouraging personnel and suppliers to raise concerns about any issue or suspicion that they may have of modern slavery at the earliest possible stage. If anyone becomes aware of or suspects that modern slavery is taking place, they must immediately notify Maintain Industrial Access Management.

Breaches in this policy may result in the potential termination of individuals and contracts.

Sexual Harassment

Maintain Industrial Access (MIA) is committed to providing and maintaining an Equal Opportunity workplace that is free of harassment of any kind. Sexual Harassment is defined as “any unwelcome sexual advance or an unwelcome request for sexual favours or other unwelcome conduct of a sexual nature” (Sex Discrimination Act 1984). MIA will not tolerate Sexual Harassment of any nature. Sexual Harassment may be deliberate or unintentional and may include, but is not limited to:

sexually graphic displays of pinups, calendars, cartoons, graffiti and screen savers;

written messages left on boards, desks, in lockers or in emails;

staring or leering at a person or parts of their body;

smutty jokes or verbal remarks;

body contact such as rubbing, pinching, patting or massaging;

tales of sexual exploits;

repeated requests for dates/drinks; and

suggestive comments regarding a person’s appearance.

Sexual Harassment is unlawful under the Sex Discrimination Act 1984 and the W.A. Equal Opportunity Act 1984. MIA has the responsibility to ensure that the principles of equal opportunity are practiced and reflected in its policies and procedures.

Appropriate disciplinary action will be taken against any staff member who is found to have engaged in behaviour that contravenes this policy up to and including termination of employment.

“What may seem as reasonable by one person can be viewed differently by another”.

Any staff member who makes fraudulent or vexatious complaints shall be subject to disciplinary action and may face termination of employment if appropriate.

MIA will comply with all current legislation and this policy will be reviewed at regular intervals and revised where appropriate.

Work that you create during your employment, including an invention, design or copyright, is considered our intellectual property.

Conflict of Interest

A conflict of interest arises where your activities, financial interests, family relationships, personal relationships or loyalties jeopardise or could jeopardise your judgment or independence in relation to Maintain.

Examples may include:

Any work activity (paid and unpaid) which may impinge on your normal working hours;

A business interest in, or association with, any supplier, client, subcontractor or other service provider, including that of a friend or family member;

A personal relationship with someone under your supervision; and

A personal relationship with an applicant applying for a position with us.

If you become aware of any actual or potential conflict of interest you must:

Disclose the matter to the relevant member of management immediately as it arises; and

Follow any direction given by the member of management in relation to the matter.

Ethics

Ethical practice is behaving in a way which is moral, right, fair and just.

Examples of its application in our workplace include:

Ensuring that any instance of bullying, harassment or assault is reported;

Who must complete this induction? All Maintain Group employees, labour hire workers, subcontractors, and any persons conducting work on behalf of Maintain Group must complete this induction prior to commencing work.

Our Legal Duty of Care

WHS Act 2020 (WA) obligations

Under the Work Health and Safety Act 2020 (WA), Maintain Group has a primary duty to eliminate or minimise risks to the health, safety, and welfare of all workers — including risks to psychological health.

This obligation is further supported by Safe Work Australia's Code of Practice: Managing Psychosocial Hazards at Work, which provides practical guidance on identifying, assessing, and controlling psychosocial risks.

Health means more than physical safety. Section 19 of the WHS Act 2020 (WA) defines health as encompassing both physical and psychological health. Maintaining psychological safety is as legally required as wearing PPE.

What Is a Psychosocial Hazard?

Recognising risks to psychological health

A psychosocial hazard is anything in the design or management of work, the work environment, or workplace relationships and behaviours that has the potential to cause psychological harm — such as stress, anxiety, burnout, or depression.

Excessive workload, time pressure, work intensity, or conversely — insufficient tasks leading to boredom or disengagement.

  • Participate in training and inductions related to psychosocial safety

Workplace Bullying

Definitions, examples, and what it is not

Workplace bullying is repeated and unreasonable behaviour directed towards a worker or group of workers that creates a risk to health and safety. Both elements — repeated and unreasonable — must be present.

  • Excluding or isolating a worker from team activities
  • Setting unreasonable deadlines or changing tasks to cause humiliation

Harassment & Sexual Harassment

Unwanted conduct based on personal characteristics

Harassment is unwelcome conduct based on a protected attribute such as race, gender, age, disability, religion, or sexual orientation. It does not need to be repeated — a single serious incident can constitute harassment.

Sexual harassment is unwelcome sexual conduct that a reasonable person would find offensive, humiliating, or intimidating. It is unlawful under the Equal Opportunity Act 1984 (WA) and the Sex Discrimination Act 1984 (Cth).

Examples of Sexual Harassment

  • Unwelcome physical contact of a sexual nature
  • Sexually explicit comments, jokes, or gestures
  • Sending or displaying sexually explicit material
  • Requests for sexual favours
  • Intrusive questions about someone's personal or sexual life
Zero Tolerance. Maintain Group has zero tolerance for bullying, harassment, or sexual harassment of any kind. Any substantiated complaint will result in disciplinary action, which may include termination of employment or engagement.

Discrimination

Protected attributes and unlawful conduct

Discrimination is treating someone less favourably because of a protected attribute, or imposing a condition that disadvantages people with a particular attribute. Discrimination in employment is unlawful.

Protected Attributes Include

  • Race, colour, national or ethnic origin
  • Gender, gender identity, and sexual orientation
  • Age, marital status, and family responsibilities
  • Pregnancy and breastfeeding
  • Disability (physical, intellectual, psychiatric, or sensory)
  • Religion and religious beliefs or practices
  • Political opinion
Bystander Responsibility If you witness bullying, harassment, or discrimination, you have a role to play. You don't have to intervene if it's unsafe to do so — but you should report what you have seen to HR or your supervisor as soon as possible.

Fatigue Management

Understanding fatigue as a psychosocial risk

Fatigue is a state of physical and/or mental exhaustion that reduces your ability to work safely and effectively. It is a recognised psychosocial hazard and a significant safety risk, particularly in construction, maintenance, and remote project environments.

Your Obligations Regarding Fatigue

  • Do not commence or continue work if you are too fatigued to do so safely
  • Report to your supervisor if you are fatigued before starting or during a shift
  • Comply with Maintain Group's maximum working hours and rest break requirements
  • Ensure you get adequate sleep before FIFO rotations and shift changes
  • Do not drive to or from site if you are impaired by fatigue
⚠ Fatigue impairs judgement as significantly as alcohol. Being awake for 17 hours produces impairment equivalent to a blood alcohol level of 0.05. Working while fatigued is a safety risk — to you and your workmates. You will not be penalised for reporting fatigue.

How to Report a Concern

Step-by-step reporting process

You should never feel alone in addressing a psychosocial concern. There are multiple channels available to you depending on your situation. You are encouraged to report early — the earlier a concern is raised, the easier it is to resolve.

Speak to Your Supervisor or Manager

If you feel comfortable doing so, raise the concern directly with your supervisor. This is often the quickest way to resolve an issue. If your supervisor is the source of the concern, go to the next step.

Contact HR or Your Operations Manager

Contact the Maintain Group HR team or your Operations Manager to report the issue. You can do this verbally or in writing. HR will maintain confidentiality to the extent possible and practicable.

Use an External Channel (if needed)

If internal processes are not appropriate or have not resolved the issue, you can contact an external body such as WorkSafe WA, the Fair Work Commission (for bullying matters), or the Equal Opportunity Commission WA.

Anti-Retaliation

It is unlawful and a breach of Maintain Group policy to take adverse action against any person for:

  • Making a report or complaint in good faith
  • Participating in a workplace investigation
  • Exercising a right under WHS legislation
  • Assisting or supporting another person who has made a report

Confidentiality

Maintain Group will take all practicable steps to maintain confidentiality throughout any investigation. Information will only be disclosed on a need-to-know basis and where required by law.

What Happens After You Report

  • Your report will be acknowledged promptly
  • An appropriate investigation process will be initiated
  • Both the reporting person and the respondent will be treated fairly
  • You will be kept informed of the progress and outcome where appropriate
  • Disciplinary action will be taken where a breach is substantiated
